DEACONS’ RESPONSIBILITIES AND ACTIVITIES            

The main responsibility of the Deacons is to minister to the needs of the congregation

Convene and chair Deacon Meetings seeing to preparation of Agenda and submission of meeting minutes; Meet regularly with minister and serve as liaison with Session. Serve as first contact with the congregation. Assure key posts are assigned and critical functions attended to. Sustain spiritual and Christian service perspectives of the Board.

Secretary

Accurately record all actions and decisions of each monthly meeting via typed minutes submitted to the moderator and the church secretary. Serve as repository agent for documents produced by deacons during year, that is, keep copies of items such as minutes, agenda, lists, directories, etc. Prepare correspondence as needed. See that the work of the Deacons is publicized in the church, brochures, bulletin and newsletter so that the board may be of service to the congregation

Treasurer

 

Keep account of Deacons Board funds. Give regular treasurer reports at meetings. Manage the checkbook, keeping accurate ledgers. Receive and deposit all donations given to the Deacons and let the financial secretary know the amounts so that each donor is credited accurately. Write checks for loans and benevolences as needed, maintaining strictest confidentiality. Maintain a small petty cash fund to meet immediate gifts/loans

 

SERVICE ACTIVITIES

Flower Delivery Coordinator

Creates flower delivery schedules for designating deacons on Sundays.

All Deacons

Each Deacon is responsible for delivering altar flowers on their scheduled Sunday to someone who would appreciate them, like a shut-in, someone in the hospital, a family with a new baby. Flower delivery generally involves visiting for a few minutes. Individual to receive flowers are identified by the following protocol: (1) Check with minister or church staff to learn of any special needs; (2) Ask Visitation Coordinator or Flower Delivery Coordinator or other deacons (3) Check the list in the communion room.

Easter and Thanksgiving Flowers Coordinator

Arranges for the church secretary to order flowers or plants (Deacon treasury covers cost) to be delivered to our members on specific list, one week before delivery is scheduled.  Make sure all plants are delivered. Work with Church secretary and Visitation Coordinator to keep current lists of members for special flower delivery

All Deacons

Deliver Easter and Thanksgiving plants to their regular visitation person -in or other people the Deacons feel might benefit from a visit.

90’s Special Birthday Flowers 

Remind the church secretary to order flowers to be delivered to members who are over 90 on their birthdays. Keep list updated to determine who is over 90.

Remembrance

Coordinator

Amy Behrman

Sends cards and notes to mark special circumstances such as newly bereaved, new parents (births) in the congregation baptisms, marriages, illness, and other occasions. Be attentive to determine needs for remembrances. Deacon treasury covers cost of cards/postage.

Be attentive to and responsive to incorporating new members and sustaining existing members in the life of the church. Establish and sustain system for recognizing member needs. Be custodian of the “Deacons’ Box, actual and virtual, to enhance communication of members needs that could be addressed by the Board of Deacons.

All Deacons

Contact members as needed or assigned to inquire about their well-being or possible need, or to invite them to participate in a church activity or event.

Transportation Coordinator

Be broker for rides as called; maintain a list of possible drives and solicit drivers as requests for rides are made; coordinates carpools to special events as well as ensure that members who need a ride are attended to.

 

All  Deacons

Be open to drive members/friends to worship or other church events. 

Visitation

Coordinator

 

Keep list of church members who need visits; communicate with pastor and other church informants to learn of visitation needs; solicit visitors from Deacon as needs are identified. Pair deacon with needy parishioners for regular visitations.

 

All Deacons

Call on/visit the elderly or shut-in or temporarily sick members.  May visit new or prospective members as well as the newly bereaved.

 

AD HOC RESPONSIBILITIES

Deacons Corner Church Newsletter

Participate in preparing and implementing Deacons’ Picnic

1. Ad hoc/as needed response to the special needs of members of the church, on an as-needed basis, recommending to the board the expenditure of funds from what has been entrusted to the Deacons for this purpose.

2. Help particularly needy parishioners manage aspects of their lives.

 

OTHER TASKS

Medical Supplies

Ensure that the first aid kit is adequately supplied with current medications and necessities.  Inventory medical supplies including walkers, crutches, ramps, etc.

Service Room

Ensure that the service room is clean and that vases are available for flower delivery.

 

CHURCH RELATIONSHIP POSTS

New Member Committee Rep.

Attend New Member Committee meetings to explore ways in which the Deacons can be of service to the church in this area.

Help chose nominees to the church’s boards of Deacons and Elders.

Usually meets several time in the fall.
